Late cancellation and lateness to appointment

• If the client cancels within the 24 hour notice period required, the appointment will be deducted from your monthly package and you will not be able to re-book this session.

• Rescheduled appointments within 48 hours are not guaranteed to be re-booked or for-filled. We will make every effort possible via the methods explained above (1-3) to make your appointment happen.

• If you are more than 15 minutes late to an appointment your session will be forfeited at the discretion of the coach. We are unlikely to be able to extend the session to make the missed time up as this may encroach on another appointment.

Risks and discomforts - During exercise sessions, the possibility exists of certain changes. They include abnormal blood pressure, fainting, disorder of heartbeat and, in rare instances, heart attack, stroke or death. Every effort will be made by M.E.T.A. (Chatham) Ltd to minimise of any of these risks from occurring, by evaluating information received relating to your health and fitness and by observations during activity. Emergency equipment and trained personnel are available to deal with unusual situations that may arise.
Whilst exercising outdoors there lies the risk of potential injury, M.E.T.A. (Chatham) Ltd accepts no responsibility for such injuries, but will take necessary action to improve and maintain safety at all times.
Responsibilities of the participant – Any information that you possess about your health and status or previous experiences of unusual feelings with physical activity may affect the safety and value of your exercise tests. It is of great importance that any unusual feelings are promptly reported to the M.E.T.A staff, and it is your responsibility to fully disclose such information when requested by me or other staff. M.E.T.A. (Chatham) Ltd takes no responsibility for individuals belongings, clothing or any others valuables that may become damaged or lost and advise that participants bring only what is required for the training session.
We ask that you please take all belongings and used rubbish i.e. empty water bottles, wrappers etc., with you or place them in the bins.
Freedom of consent – Your permission to take part in the exercise sessions is voluntary. If at any time you feel it necessary, you are free to deny consent or stop at any point, if you wish.

1:1 coaching packages

• 1:1 packages are sold as x4, x8, x12 and x20 one hour sessions only. These sessions must be purchased and used on a month-to-month basis. No sessions will carry over into the next month. It is recommended that you divide your sessions on a weekly basis throughout the month i.e. x1, x2 x3 and x5 per week. However sessions can be distributed unevenly depending on coaches availability.

• It is your responsibility to organise sessions should you not be able to attend. Options for using the your sessions are as follows:

Spreading your sessions around the week of absence (depending on availability of your coach).

Booking ‘catch up’ sessions with another coach.

Working with another customer (should you both agree) in a ‘paired’ session. The partner will be matched to suit your ability and goals by the coach taking the session, be it yours or another coach.

Organise your payments with your bank to reduce the amount payable to match the number of sessions you can attend in that month of absence. This must be completed the month prior to your absence. You are not entitled to redeem your sessions the following month.

Make up additional sessions in the month’s that have five weeks.

• Purchased sessions cannot be used by anybody else.

Payment

• We request that payments are by Direct Debit to Move. Eat. Think. Achieve (CHATHAM) Ltd on the first day of every month. M.E.T.A. (CHATHAM) Ltd will arrange with your bank using a standing order form which The M.E.T.A. Studio will send to your bank with your permission.
• Card and cash payments will still be taken if that is the customer’s preference. The payment must be taken by the start of your first session of the month and no later.

• For every package purchased you will be entitled to the equivalent amount of ‘Studio sessions’ i.e. x4 1:1 coaching Bronze package will entitle you to x4 ‘studio sessions’ per month. To use these session you must book in advance with reception or via the MINDBODY app or MINDBODY online.

• How the payments are arranged will mean that customers can receive a set number of sessions per week per month (established at the end of the month). For example, if there are five weeks in one month, then the customer will be entitled to five weeks of training depending on the number of weekly sessions purchased.

• ‘Top up’ sessions can be purchased once the original package has been used. For example, if the customer purchases four sessions (Bronze package) and uses them before the end of the month then individual ‘top up’ sessions can be purchased on a pro-rata basis, the price of which will be dependent on the value at the time.

Terminating standing orders payments

• One month’s notice is required before termination of standing order. You must contact your bank and a member of staff from The M.E.T.A. Studio to confirm termination of your standing order. If you do not receive a letter of confirmation from M.E.T.A. (CHATHAM) LTD within four weeks of deciding to terminate your contract please contact The M.E.T.A. Studio to ensure the standing order has been terminated.

Refund / Cancellation Policy

Services
• 1:1 coaching
o If your scheduling conflict is known in advance and we are notified at least 24 hours ahead of time, it MAY be possible to make the session up at a later date or with a different trainer. However, this cannot be guaranteed.
o Any sessions missed with less than 24 hours notification are forfeited.
o If you have not already paid for the session, your account/card will be charged for the full amount of the session.
o If no card/account information is present, no further sessions will be conducted until the outstanding payment is received.
Additionally, reserved time slots may be lost if payment is not made in a timely manner.
• Registered Programs
o Pre-paid classes are refundable
o If you are unable to attend a program due to circumstances out of your control (determined on a case-by-case basis by our administration), we can offer you a refund if you notify us prior to your session start date. However we do charge a 30% cancellation fee. This cancellation fee may be avoided if you opt for a service credit instead of a refund.
NOTES: Service credits are valid for 30 days only!
o If we are notified after your session begins, we can only give you a credit towards another program. This credit is non-transferable and accounts for only the sessions remaining in your program at the time you requested cancellation.

There is no cash refund.
There is no refund for merely changing your mind!
We are here to get you results and these results cannot be achieved if you fail to attend the program!
This is not negotiable.
• Individual Classes
o If your scheduling conflict is known in advance and we are notified at least 24 hours ahead of time, it MAY be possible to make the session up at a later date or with a different group. However, this cannot be guaranteed.
o Any classes missed without 24 hours notification are forfeited.
o If you have not already paid for the class, your account/card will be charged for the full amount of the session.
• Consulting
o No refunds are available for completed consulting services.
o Unused, pre-paid and retainer-based consulting services may be eligible for a refund depending on the agreement between you and the M.E.T.A. (Chatham) Ltd subsidiary. Standard notice for cessation of services is one calendar month, but this may vary between contracts. Be sure to check your agreement for details.
Products
• Fitness Equipment and Accessories
o May be returned within 14 days for exchange only. Returns are valid only for products that have not been opened, used or damaged.
o Products which are defective or damaged upon arrival may be returned immediately for exchange.

Some products may need to be shipped directly to the manufacturer. This will be stated on the product package or instruction insert. Should you be unsure if this is the case, please contact us using the information at the bottom of this page
o Customers are responsible for all shipping charges on exchanges or refunds.
o Refunds are only available when an equivalent replacement in unavailable and customer does not wish to exchange for another product
• Books, DVD's, Posters
o May be returned within 14 days for exchange only. Returns are valid only for products that have not been opened, used or damaged.
o Products which are defective or damaged upon arrival may be returned immediately for exchange.
o Customers are responsible for all shipping charges on exchanges or refunds.
o Refunds are only available when an equivalent replacement in unavailable and customer does not wish to exchange for another product.
• Digital Products (Audio, Video, E-Book downloads)
o These products are not eligible for return or exchange.
o Should your file be defective or damaged upon arrival please contact the appropriate division of the M.E.T.A. (Chatham) Ltd where you purchased the product and we will arrange for a copy of the file to be re-sent.
o Should you be dissatisfied with the quality or content of the file, we would be happy to hear your feedback. Please contact the appropriate division of the company.

• Payment for Products & Services
o All Credit Cards will be processed in British pounds at the time of payment. M.E.T.A. (Chatham) Ltd is not responsible for any fees, charges, exchange rates or additional charges levied by individual financial institutions or Credit Card companies.

Sickness and illness

• If you are sick or ill for more than two weeks, then the missed sessions cannot be redeemed. Please contact your bank and a member of staff from M.E.T.A. (Chatham) Ltd if you wish to cancel the payments going forward.

As part of providing an excellent service that sets us apart from other fitness professionals, we use a certain skill set as part of our assessment protocol that will regularly give you the most accurate data to determine your body composition and any physical adaptations that will occur whilst on your journey with us.

One of the processes involves taking 7 skinfold measurements in various locations on your body. Your coach will make you aware of what is involved and it is at your discretion whether a same sex person be present during the assessment process.

If you feel you would be more comfortable with a staff member of the same sex chaperoning during this process, please let us know.

We will also require photographs of you in gym wear from the front, side and back. This complete assessment process will enable you to see the changes you make to your body whilst allowing us to make a statistical analysis to show progress.

We will not use your photographs for marketing purposes without your express permission. We would obtain this from you in writing should you wish to demonstrate your achievements to inspire other clients.
